About Notion
Notion is a connected workspace made by Notion Labs. It combines documents, wikis, project boards and databases in one place, so a team can keep its notes, plans and reference material together and link them to each other instead of spreading them across separate tools.
Pages in Notion are built from blocks, such as text, lists, tables, embeds and databases, which makes it flexible enough for anything from a personal task list to a company knowledge base. In recent years Notion has added AI features, agents that automate routine work, AI meeting notes, enterprise search and a separate Notion Calendar app.
Key features
- Docs. Rich pages for writing, planning and sharing, with comments and real-time collaboration.
- Wikis and knowledge bases. Teams centralise documentation, policies and how-to guides in a searchable structure.
- Projects and databases. Databases can be viewed as tables, boards, timelines or calendars to track tasks, content or any structured information.
- Notion AI. AI tools for writing, summarising and answering questions across a workspace; full access comes with the Business and Enterprise plans.
- Agents. Notion Agents automate routine work; they are included on Business and Enterprise and available as a limited trial on Free and Plus.
- AI meeting notes and enterprise search. Meeting notes written by AI, and search that finds answers across Notion and connected apps with citations.
- Notion Calendar and connections. A calendar app that connects multiple calendars, plus integrations that bring other apps into the workspace.
Who it is for
Notion is used by individuals for personal organisation, by startups and small businesses as an all-in-one wiki and project tool, and by larger companies for documentation and team workspaces. It suits founders, product and engineering teams, operations, marketing and students. Teams that want structured project management without a dedicated tool often build it in Notion databases, while companies that need SAML single sign-on, audit logs and stricter controls look at Business or Enterprise.
Pricing at a glance
- Free: $0 per seat. Unlimited blocks for individuals but a limited number for workspaces with two or more members, 5 MB file uploads, 7 days of page history, up to 10 external guests and a limited trial of Notion AI.
- Plus: $10 per member per month, with unlimited file uploads and 30 days of page history; Notion AI remains a limited trial.
- Business: $20 per member per month, adding full Notion AI with agents, AI meeting notes and enterprise search, SAML single sign-on and 90 days of page history.
- Enterprise: custom pricing, adding unlimited page history, audit logs, a customer success manager and zero data retention with AI model providers.
- The prices above are monthly billing; Notion says yearly billing saves up to 20%.

Things to consider
- The free plan works well for individuals, but shared workspaces with two or more members hit a block limit, and file uploads are capped at 5 MB.
- Full Notion AI and agents need the Business plan or higher; Free and Plus only include a limited trial.
- Notion's flexibility has a learning curve: without agreed templates and structure, workspaces can become cluttered.
- Audit logs and unlimited page history are only on Enterprise, which matters for regulated teams.
Getting started
- Create a free account at notion.com and install the desktop or mobile app if you like.
- Start from a template, such as a team wiki or a task database, rather than a blank page.
- Invite teammates and agree on a top-level structure for teams and projects.
- Review plan limits on the pricing page before your team grows past the free block limit.
